OEM Component Sourcing: A Practical Procurement Checklist
A procurement checklist for OEM teams requesting a component quote, from revision control to the difference between a sourcing path and a build path.
OEMs already own the specification
An OEM enquiry works best when the buyer remains the owner of the design. The sourcing or manufacturing party should be able to see the revision, the quantity, and the documents that define acceptance. Ironvale can discuss sourcing, a production route, or both. The website does not transfer design authority.
Checklist before you request pricing
Use this list internally, then send the items that apply. Leave a line blank rather than inventing a value for the supplier to quote against.
- Part number, revision, and the system of record
- Drawing and, if used, the model, with the controlling file named
- Bill of materials for assemblies, including hardware you will supply yourself
- Estimated annual quantity and the first release quantity
- Material specification, if frozen
- Standards you require, cited by document and edition
- Documentation you will put in the device history or job file
- Destination ZIP code and whether shipments release to a schedule
- Known alternates you will accept, and alternates you will not
- Point of contact for technical questions and a separate contact for commercial questions, if they differ
Qualification is not a logo on a slide
If you need a supplier to be qualified, describe the qualification you use: document review, sample, audit, or something else. A company that offers to coordinate qualification is not yet approved. Approval is the outcome of the process you define, recorded in your system.
Ask whether the quoter will buy the part, make it, or introduce a partner. The answer changes risk, lead time, and whose certificate you would be looking at.
Checklist
- Design ownership stays with the OEM unless a written agreement says otherwise
- Revision and bill of materials attached
- First-release quantity separated from the annual estimate
- Frozen specifications distinguished from open items
- Make, source, or partner route requested in the RFQ
- Qualification method described by the OEM, not assumed
- No proprietary or export-controlled file sent without authorization
